Transferring Your Library Holdings to ProQuest

Library Holdings Administrator is part of the ProQuest Local Administrator application. Contact ProQuest Customer Service at 800-521-0600 extension 2971, or 734-761-4700 extension 2971, if you do not have a Local Administrator account name and password

Step 1: Create a Library Holding File

If you want to transfer your holdings information from either an OPAC, or some other source complete the following steps:

Convert your Library Holdings information into a delimited file format. The name of the file should be your Local Administrator account name with a "txt" extension. For example: acctname.txt.

Note: The first line in this file should list your Library Holdings Administrator account name and password only if you are uploading the file via FTP. If you are using the Library holdings administrator to upload the file, our system will insert this information automatically into the file. Your first line can start with the first holding.

All subsequent lines list one holding per line. Each line must end with either a new line, or a carriage return/linefeed combination. In addition, all fields--even empty optional fields--on each line must be separated by the pipe symbol ( | ):

Description of use

Title_id

Optional

Unique title identifier. This identifier can be obtained by downloading titles from title list.

Note: If you don't download this information from the title list you have to put in a -1 for ProQuest titles or a -3 for third party titles after the title id number. For Example 30042-1 or 30041-3.

Title

Required *

The publication title of the library holding. Titles can have up to 255 characters.
Note: You must specify a title if title_id is not specified. This field cannot be left empty.

ISSN

Required *

ISSNs can be entered in the following formats:

  • No hyphens: 00319023
  • With a hyphen: 0031-9023

ISSNs can not exceed eight characters. Up to 10 ISSN entries to one title, separated by commas and no spaces:

URL Action

Required

A for add or D for delete URL from title.

URL

Optional

Enter in complete URL to Electronic Resource.

Note: The maximum length of the URL is 1024 characters.

URL_display_label

Optional

Enter the text to be displayed on the hypertext link.

Note:If text is not entered the URL location will be displayed as the hyperlink text.

URL_adm_label

Required

This is the text that is used in Local administrator interface to identify link.

Note: The maximum length is 40 characters.

URL_Icon

Optional

Enter a fully qualified URL to an ICON (button) that you would like displayed with your library holdings. The maximum length of the URL is 1024 characters.

Note: The graphic referenced should be 20 x 88 pixels in GIF or JPEG format. If you provide a link to an image with a different size it will be scaled to fit.

Electronic (Microfilm, Paper, CD-ROM) Optional

The Microform, Paper, and CD-ROM fields indicate the storage media of the library holding. Each field should either list a y for "yes," or an n for "no." In the following example, the holding is available in microform and paper, but not in Electronic or CD-ROM:

Note: At least one format or a URL is required for the Library Holdings information to be displayed.

Note Optional

The Note field lets you describe specifics about the title, such as its location in your library and whether certain years of coverage are only available on microform, paper, or CD-ROM. The maximum length of the note is 2000 characters.

IMPORTANT: Do not insert new line or carriage return/line feed combinations in the notes.

Start Date

End Date

Optional

The start and end dates must be in the format yyyymmdd. For example, 19750618 describes a holding that begins on June 18, 1975.

For monthly publications, enter "01" in the day (dd) field. For yearly publications, enter "01" in both the month (mm) and day (DD) fields. For example, enter 19970501 for "May 1997," and enter 19970101 for "1997." The following example of a monthly publication lists dates of coverage from June 1978 to August 1993:

You also have the option to leave these fields empty:

Start_Vol End_Vol Optional The Start_vol and End_vol fields are optional fields to display the starting and ending volume of your local holdings. Start_Issue End_Issue Optional The Start_issue and End_issue fields are optional fields to display the starting and ending issue of your local holdings.

Examples

Here is an example of a file with all the fields filled in:

Step 2: Upload Library Holding File to ProQuest

Method A: Upload holdings file with the Library Holdings Administrator

  1. Create library holdings file in format specified in step one.
  2. Log into your ProQuest Local Administrator account.
  3. Click on the Library Holdings Menu Option.
  4. Click on Upload File link.
  5. Click on Browse and provide the location of the file to be uploaded.
  6. Click on Upload.

Method B: Upload holdings file via FTP

The information you need to know to upload your file is listed here.

Uploaded files are normally processed within 15 minutes. You will then be able to use ProQuest Local Administrator to view and edit your holdings information. If you encounter any problems or if you do not see the uploaded holdings information in ProQuest within 24 hours, call ProQuest Technical Support at 800-889-3358, or 734-761-4700 extension 2513 for assistance.
